Tanoto Foundation (www.tanotofoundation.org) is a not-for-profit foundation which strives to be acenter of excellence for facilitating and improving access to quality educationand to empowerment opportunities that contribute to poverty reduction. The Foundation currently runs a number of philanthropic programs in Indonesia ranging from scholarship, teachers training, school improvement programs,research support, to small business development.

DATA MANAGEMENT SPECIALIST

IMMEDIATE CHALLENGES :
To establish an impact database system for all programs
To create applications for data processing
Produce analysis reports of existing database
To support analysis of baseline surveys conducted in Sumatera Utara, Riau and Jambi provinces.

PRIMARY RESPONSIBILITIES :
· Design an M&E database (or M&E data management system) for the project, including input entry forms, and systems to filter/separate data on the central, provincial and district levels;
· Generate reports as needed, based on data in M&E system
· Develop M&E instruments for specific projects.

OTHER DUTIES:
· Maintain and update project data management system, inputting new information gathered at provincial and district level
· Reviewing with M&E Coordinator, all project objectives, benchmarks, indicators, and measurement tools
· Designing specifications and system for all databases and monitoring an evaluation tools to be integrated into the performance monitoring systems;
· Managing data collected for performance monitoring systems, incorporating inputs from all project component and activities
· Manage the development, design, and implementation of program activities, as necessary
· Conduct training for staff on M&E subjects;

QUALIFICATIONS:
· Knowledge in M&E, experience in data management and data analysis
· S1 in Information management, computer science or relevant field
· Basic understanding of corporate social responsibility principles is important for this position.
at least 3 (three) years of specific data management experience
Proficient in the use of Microsoft Access (especially Excel & Access), possibly SPSS Software
a familiarity with training assistance, knowledge of program design and development


WORKING CONDITIONS:

Based in Jakarta, with up to 50% traveling within the provinces of Riau, Jambi and North Sumatra to the project sites


FINANCE OFFICER

The Finance Officer is a mid-level position based in the Foundation’s Jakarta headquarters. The position is responsible for maintaining day-to-day accounting process, payment processing, tax administration, banking relations and the development, updating and implementation of related SOPs. The position is also responsible for providing financial service and accounting supports to the Foundation’s various programs, and for liaising with auditors. As mid-level officer of Tanoto Foundation, this position provides inputs to Management on financial and accounting matters.
RESPONSIBILITIES AND TASKS:
1. Accounting function:
a. Establish and monitor the implementation and maintenance of accounting control procedures including develop and maintain financial database, prepare and reconcile bank statements, perform cash controls and account reconciliation.
b. Ensure the smooth running of daily accounting and financial transactions such as record transactions into the computerized system, accurately post and balance all entries in assigned ledgers.
c. Maintain the accounts payable and accounts receivable systems in order to ensure aging AR and AP are conducted.
d. Management of the fixed asset process, policy, and procedure to ensure depreciation of the Foundation fixed assets are calculated correctly.
2. Payment and Budget Processing:
a. Review requests for payment to vendors originating from both Jakarta office and field offices to ensure accuracy of information, proper authorization, proper charging to budget components, compliance with the Foundation’s procedures, and complete documentation.
b. Process the payment vouchers to ensure timely payments.
c. Maintain efficient filing systems for all payment vouchers and the supporting documentation.
d. Review and prepare payment for expense reports including prepare monthly Outstanding Advances report.
e. Assist with preparation of the annual budget budgets and monthly forecast. 
3. Tax payment and administration:
a. Ensure that taxes are calculated accurately and paid in a timely manner.
b. Ensure that all tax reports are produced and filed in a timely manner. 
4. Banking relations:
a. Prepare necessary documentation and complete the authorization for opening and closing bank account.
b. Maintain custody of payment instruction forms, checks, and the registers.
c. Liaise and communicate with the banks on banking issues.
d. Propose investment of temporarily idle funds to the Head of Finance and Administration and to the Head of Tanoto Foundation.
5. Financial review, policy and compliance:
a. Prepare materials and conduct analysis on finance and accounting report for the monthly review meeting with Head of FA & Head of Foundation.
b. Assist the Foundation’s Management in ensuring that all financial and accounting policies and procedures are updated and understood by all staff. In this connection, the position also provides training to staff at the headquarters and at the field.
c. Provide suggestions and recommendations to improve the Foundation’s finance and accounting policies.
6. Audits
a. Conduct inspections to project sites to verify compliance.
b. Participate in implementation of audit recommendations.
c. Liaise with internal auditors and external auditors, including assisting with the preparation of audited financial statements, footnotes and supplemental information
7. Other functions
a. Participate in performance evaluation of peers and supervised staff, if any.
b. Any other duties that maybe reasonably assigned by the supervisor, including performance of other staff’s duties within the Finance & Accounting Unit when the respective staff is not in the office or due to the heavy workload in certain area.
c. Assist in development and implementation of new procedures and features to enhance the workflow of the department.
d. To manage regular communication/interaction with regional finance team.

SUPERVISES: (Indirectly) Field Finance and Administration Officers.
CONTACTS/KEY RELATIONSHIPS:
Project Officers, Project Managers, Program Managers, RGE Treasury, APRIL A/P Team, all staff.

QUALIFICATIONS:
· University degree in accounting from reputable university. 
· At least 5 years of well-rounded working experience in accounting, taxation and finance; previous working experience in development organization or NGO is not a must but is an advantage.
· Having tax brevet A and B would be an advantage.
· Good level ability to communicate in English, both spoken and in writing.
· Proficient in MS-Office, MS-Outlook applications and familiar with accounting software.
· Demonstrated ability to work independently with minimum supervision.
· Detail oriented and organized in work
· Ability to work cooperatively and collaboratively with all levels of employees, management, and external agencies to maximize performance and results
· Willing to travel to project sites.

WORKING CONDITIONS:
The position is based in Jakarta but from time to time may be required to travel to project sites (up to 20% of the time).

The Agency for Technical Cooperation and Development (ACTED) is a French non-profit organization working in over 30 countries worldwide to provide emergency response, early recovery, and development assistance to
communities in need. ACTED's interventions seek to cover multiple aspects of humanitarian and development crises through a multidisciplinary approach that is both global and local, and adapted to each context. ACTED's vision is to establish emergency, rehabilitation, and development. ACTED aims to guarantee the sustainability of relief interventions carried out during crises by remaining in the field after the emergency to engage in long-term
support to communities in food security, health, education, economic assistance, microfinance, advocacy, and cultural promotion. ACTED's actions are needs based and identified in a participatory manner with communities in
the areas where we are present. ACTED has been active in Indonesia since April 2005, assisting those affected by the tsunami and Nias earthquake and is now working to support livelihoods, community-based disaster risk
reduction, and child protection in North Sumatra, Nusa Tenggara Timur (NTT), and elsewhere.

Currently ACTED has an immediate need for qualified and experienced staff to be part of our RADKOM-DRR project in southern Belu District, NTT. ACTED, in partnership with CIS Timor, proposes to establish a community radio and provide training that will contribute to improving communication and capacity among southern Belu communities in order to improve the timeliness and nature of response to multiple coastal hazards. The intervention will also work to raise awareness of and integrate environmental management into risk reduction among communities and the government, expanding their focus and planning from simple emergency response to longer-term strategies of disaster preparedness and mitigation.

CAPACITY BUILDING MANAGER 

Under the supervision of the Area Coordinator, The Capacity-Building Manager is responsible for the overall effective and efficient coordination and management of ACTED's Disaster Risk Reduction (DRR) capacity-building
component of the RADKOM-DRR project in Belu, NTT. This component includes the establishment and/or strengthening and training of village disaster management committees in organizational development and technical areas, as well as village-based DRR activities including hazard mapping and risk analysis, disaster drills, disaster response and risk reduction planning, documentation of indigenous knowledge, and assisting village committees and authorities to develop micro-projects to reduce risk through environmental management. The Capacity-Building Manager will supervise a team of Community Mobilizers who will work directly in the project's 33 target villages in Malaka Barat and Malaka Tengah Sub-Districts.

Professional Qualifications and Skills:

- Minimum bachelor degree in social sciences or relevant area required, masters degree desired;

- Minimum of four (4) years of experience working in community capacity-building, organizational development, community-based disaster risk management/reduction, disaster preparedness and response, or other relevant
area;

- Experience developing and delivering community-based training at village level for at least two (2) years desired;

- Excellent understanding of how to ensure participation by women, disabled, and other vulnerable community members in community-driven development activities required;

- Experience facilitating and implementing Participatory Rural Appraisal (PRA) required;

- Experience conducting community vulnerability and capacity assessment and risk analysis desired;

- Experience with hazard mapping and development of Early Warning Systems desired;

- Experience implementing projects in partnership and/or consortiums with multiple organizations desired;

- Experience working for other local and/or international NGOs (especially in NTT) desired;

- Good communication skills and written/spoken fluency in English required;

- Good interpersonal skills, including patience, diplomacy, willingness to listen as well as respect for beneficiaries required;

Office Manager CHANGES FOR JUSTICE (C4J) PROJECT Chemonics International Inc., a leading international consulting firm, seeks to fill the following long-term, full-time positions for a project funded by the U.S. Agency for International Development (USAID), Indonesia Changes for Justice (C4J). The primary objective of the C4J project is to improve the performance of Indonesia’s justice system, a prerequisite for good governance and sustained economic growth, through cooperation with the Supreme Court and Attorney General’s Office (AGO) of the Republic of Indonesia. Office Manager Counterparts USAID/Indonesia, the Indonesian Supreme Court, the Attorney General’s Office, local NGO’s, and donors and partners engaged in project activities Tasks Overall requirements: The Office Manager is responsible for ensuring a clean, well organized, professional, and administratively efficient environment for C4J staff and visitors in compliance with USAID regulations and the contract signed by USAID and Chemonics. The Office Manager will at all times adhere to and act according to the Chemonics Professional Code of Ethics (“Living Our Values”) and will make the principles of the Code a part of the project’s culture and standard operating procedures. The Office Manager will also ensure that professional and transparent relationships are maintained with all C4J staff, project partners, donors, counterparts, vendors, and others with whom she interacts, throughout the life of the project. Specific requirements: 1.Handle and oversee all office administration including management of human resources for all C4J staff, coordination of payment of all invoices and bills with the C4J Finance Manager, coordinate C4J technical logistics and administrative support by Administrative Assistants, Receptionist, IT Officer, Translator/Interpreters, and Driver, and maintain close coordination with all other administrative and technical staff. 2.Serve as the in-country point person for handling relationships with office landlord and/or relevant building management and maintenance personnel on all matters related to the C4J office spaces, including matters related to lease terms and VAT exemption processes, both in temporary and long-term spaces as required. 3.Coordinate with the Indonesia Program Manager (IPM) on matters related to Chemonics’ legal status, VAT exemption, legal advice, and other issues managed jointly for all Chemonics projects in Indonesia, as defined by the Chief of Party and Chemonics. 4.Manage long-term expatriate staff, visas, housing and other logistical matters, and short-term expatriates’ hotel and transportation arrangements. 5.Seek bids which support office operations; negotiate and manage long-term vendor relationships, including but not limited to contracts for travel, office equipment, and IT systems. 6.Supervise the management and accounting for petty cash by the Administrative Assistant. 7.In cooperation with the Procurement Manager, manage C4J office equipment, office services such as telephones, internet, etc., and acquisitions needed for C4J office operations. 8.Oversee all C4J office communications, including managing the chronological correspondence file, formatting of official correspondence, and assisting to ensure compliance with branding requirements. 9.Assist with the preparation of C4J documentation relating to office management as required. 10.Lead person for managing the shared office calendar, including finalizing meeting dates, appointments, locations, office cars and drivers, assisting with coordinating staff, and other logistical needs. 11.In cooperation with the senior technical staff, ensure that all C4J actions comply with USAID and Chemonics regulations on procurement, subcontracting communications, and other regulated areas. 12.Work together with the Finance Manager and the SAF/Grants Manager to process VAT exemption for all subcontracts, local personnel contracts, and expatriate needs, such as housing, hotels and visas as required. 13.Manage all other administrative tasks as designated by Chief of Party. Reporting The Office Manager will report directly to the Chief of Party. She will prepare regular oral and written progress reports that demonstrate the status of project operations, as well as other reports as required. As teamwork is crucial to the success of the project, the Office Manager will be expected to coordinate work with other technical, managerial and administrative C4J staff, as per direction from the Chief of Party. Qualifications and Salary At least 5 years office management experience, preferably with large-scale international projects. Successful experience working in a diverse, face-paced environment. Excellent computer and typing skills including, Microsoft Word, Excel, Outlook exchange email system, and desktop publishing software such as Adobe, Photoshop, and other similar programs. Versed in office administration duties including faxing, photocopying, answering phones, and arranging meetings. Friendly and service oriented approach required. Bachelor’s degree required. Fluency in English and Bahasa Indonesian required. Experience in preparing correspondence and presentations highly preferred. Time Frame This long-term, full-time position is available immediately with an annual approved level of effort of no more than 260 days for each project year for 4 (four) years. The employment agreement will be renewed on an annual basis following a positive performance evaluation. The C4J project ends on May 11, 2014. Tetra Tech ARD

Tetra Tech ARD is currently accepting expressions of interest for the Operations Manager (Jakarta based) on our USAID Indonesia Forestry and Climate Support Project (USAID IFACS). USAID IFACS seeks to reduce the threats of deforestation and climate change, and help the Government of Indonesia (GOI) conserve the country's tropical forests, wildlife, and ecosystem processes (including carbon sequestration). JOB SUMMARY: The Operations Manager is the senior-most project staff for operational support for the USAID IFACS project. Working under the overall direction of the Chief of Party (COP) and in coordination and collaboration with project technical staff, the Operations Manager will have the primary responsibility to synchronize operational support with program requirements, ensuring the timely provision and delivery of all required project financial, human resource, administrative, logistical, IT, compliance and grants, procurement and subcontracts support to the execution of the USAID IFACS project. S/he also maintains regular and detailed briefings to ARD's home office on all operational matters (finance, human resources, grants management, etc.) as required to ensure responsiveness to USAID information requirements and smooth operation of the project. QUALIFICATIONS: University degree in relevant subject matter. Minimum of 2 years' experience in an equivalent position. Minimum 8 years of relevant experience, with at least 3 years working in a senior level position for a donor funded project, preferably USAID. In depth knowledge of USAID rules and regulations as related to Finance, Procurement, Subcontracts, and Grants. Strong organization, management, and system development skills. Native fluency in spoken and written Indonesian. Professional competency in spoken and written English. Must have the ability to work effectively in a fast-paced, stressful environment. Must be flexible, willing to perform other duties and work irregular hours. Able to communicate fluently and effectively. Caritas

Caritas gets involved wherever people are faced with hardship and are unable to manage after an emergency or disaster without help from outside. The partnership and solidarity within the global Caritas movement make efficient support possible and enable the resources, skills and expertise of 162 national Caritas associations to be utilized effectively. Caritas Germany is looking for a Head of Office in Yogyakarta, with the overall responsibility for the program activities of Caritas Germany (CG) in Indonesia. Geographic focus areas are North Sumatra, Central Java and Flores. The measures adopted by Caritas Germany in Indonesia aim at consolidating and developing country programs in the fields of disability, drugs/HIV and disaster management. The Head of Office takes over the management of the country office Indonesia with office location in Yogyakarta and coordinates the personnel at the project sites Medan and Banda Aceh. All tasks of the Head of Office with regard to program control and representation will be carried out in close agreement with the headquarters of Caritas Germany in Freiburg, Germany. The main tasks are: Management · Overall supervision / coordination of the personnel (currently one expatriate senior technical advisor for the work with disabled persons and four local employees in Yogyakarta as well as two local employees in North Sumatra); · Planning and controlling of the allocated country budget, as well as controlling of financial administration and of the monthly financial reports; · Recruitment, introduction and instruction of local personnel if required. Program Coordination • Development of objectives, concepts and measures for the relief programs of CG in Indonesia in close cooperation with the headquarters of CG. Areas of special focus are drugs/HIV, disability, as well as emergency and disaster aid, including disaster risk reduction; • Assessment of project plans and project proposals of local partner organizations; assist partner organizations in the elaboration of proposals and cost plans; • Monitoring of ongoing projects in cooperation with the local and expatriate personnel; Regular project visits on site; • Assuring quality standards in the narrative and financial reporting of the partners in cooperation with the local personnel; • Ensuring extensive auditing of the financial reports submitted by the partners in cooperation with the local personnel and implementation of anti-corruption measures if required; • Advising and accompanying the Indonesian Caritas on national and diocesan level (currently: KARINA KWI, Caritas PSE Medan, KARINA KAS and Caritas Maumere) regarding the development of structures, program planning and implementation of projects; • Assisting in coordination and planning of the assignment of technical advisors, of audits and visits of personnel from the CG headquarter; • Continuous reporting to the CG headquarter through monthly reports, email correspondence and telephone calls; • Emergency aid at short notice in case of emergency in cooperation with local personnel and upon orders by and in CG headquarters. Representation • Representation vis-a-vis Indonesian institutions and public authorities, international and national NGOs and local partner organizations; • Participating on committees and boards to coordinate relief measures in case of emergency • Media and public relations, interviews, accompanying journalists and other visitors • Cooperation with the local Church and members of the international Caritas network above all in the Asian Region; Requirements • Indonesian citizen • Significant experience in working with international NGOs in Indonesia • Significant management experience within an INGO setting in Indonesia • Commitment to the values of Christian faith-based organizations. Minimum of 3 years work experience in the fields related to the development and maintenance of agricultural machineries, water treatment, and energy generation, preferably with non-profit organization and/or international organizations. 3.. Knowledge of technology development, project management, monitoring & evaluation, and community development. 4.. Proven self management skills including time management, problem solving and priority setting, and capable of working productively and efficiently. 5..
